A user completing Witty Automation Academy's training challenge built a Zapier workflow that eliminated manual lead processing entirely for a fictional SaaS company, demonstrating how automation can scale from handling 10 leads to 10,000 without breaking.
Janet Oguns, learning Zapier for the first time this week, shared on LinkedIn that the academy presented a real-world problem: FlowSync Corp's team was spending 15 to 20 minutes manually processing every trial sign-up. The process involved spreadsheets, emails, and Slack notifications, all handled manually.
From Hours to 30 Seconds
The solution connected Airtable, Google Forms, Gmail, and Slack into a single automated workflow. When a prospect submits a form, the system now automatically stores their information, sends a welcome email, and notifies the appropriate sales team based on company size.
The results were immediate. Response time dropped from hours to 30 seconds. Data accuracy hit 100%, eliminating typos from manual entry. Most importantly, the workflow included conditional logic to route leads to either Enterprise or Growth teams based on company size, ensuring prospects reached the right salesperson without human intervention.
Oguns emphasized that the workflow can handle volume spikes without modification. "Knowing this workflow can handle 10 leads or 10,000 without breaking? That's powerful," she wrote.
Automation as Strategic Infrastructure
The project came from Witty Automation Academy, led by Fike Adaba, which focuses on problem-solving rather than just tool tutorials. Students received a business challenge and a deadline, with no step-by-step guides.
For small businesses, the lesson extends beyond this specific use case. Manual processes that work at low volume become bottlenecks during growth. Building automation before hitting that wall prevents the scramble to fix systems while managing increased demand.
Zapier's platform connects over 7,000 apps, allowing users to build workflows without coding. The conditional logic feature Oguns used is available on Zapier's paid plans, which start at $19.99 per month for 750 tasks. For teams processing dozens of leads daily, the time savings justify the cost within days.
Similar workflows can automate customer onboarding, support ticket routing, or order processing. The pattern remains the same: capture data once, distribute it everywhere it needs to go, and trigger actions based on specific conditions.
This approach aligns with how successful automation users think about scale. As previously covered, Zapier workflows often replace entire manual processes rather than just speeding up individual steps. The goal is removing human touchpoints from repetitive tasks entirely, freeing teams to focus on work that requires judgment and creativity.
For businesses evaluating whether to automate, Oguns framed the decision clearly: "Ask yourself, what happens when you 10x your volume? Your process breaks. Automation prevents that."
