A Zapier employee has built an AI agent that automates the creation of new hire onboarding plans, reducing manager preparation time from several hours to under an hour.
Anita Chandrasekhar, who works on Zapier's go-to-market team, announced the tool on LinkedIn, describing how the conversational agent, called /ta-onboard-manager, walks managers through a series of questions about their new hire and automatically generates comprehensive onboarding materials.
The agent runs in Claude and connects to Coda and the company's broader tech stack through Zapier's Model Context Protocol (MCP) integration. After gathering key context from the hiring manager, it drafts a welcome note, pre-fills stakeholder introductions, and builds a complete four-week onboarding checklist that publishes directly as a formatted onboarding page.
How the Agent Works
The system prompts managers with targeted questions about the new hire's role, key stakeholders, and essential context. Using that input, it accesses relevant company documentation and systems through MCP to generate tailored onboarding content.
The output includes:
- A personalized welcome message for the new employee
- Pre-written stakeholder introduction templates
- A structured four-week onboarding plan
- A published page that serves as the new hire's central guide from day one
Chandrasekhar noted that the agent connects to /ta-onboard, a related tool she shared previously that assists new hires during their onboarding process. The two agents form a complementary workflow: managers use /ta-onboard-manager to build the onboarding runway, while new employees use /ta-onboard once they start.
Part of a Broader Agent Push
The onboarding agent represents another example of Zapier employees building practical AI tools for internal workflows. The company has been releasing open-source agent skills for common business functions, including recruiting, sales call analysis, and marketing operations.
By using MCP to connect Claude with Notion, Slack, and other workplace tools, these agents can access real company data and documentation rather than relying solely on general knowledge. This approach allows them to generate output that reflects actual organizational structure, policies, and context.
Chandrasekhar included a walkthrough video demonstrating the conversation flow between manager and agent, the resulting Coda output, and how the pieces connect. The demonstration showed the agent asking clarifying questions, confirming details, and generating formatted content that required minimal editing.
Time Savings for a High-Stakes Process
Onboarding preparation typically falls to already busy managers who understand its importance but struggle to prioritize it alongside other responsibilities. Chandrasekhar characterized it as "one of those manager tasks that just has to get done," noting that welcome notes, stakeholder introductions, and week-by-week checklists all require significant time to build properly.
The agent addresses this capacity constraint by handling the structured, repeatable elements of onboarding plan creation while still allowing managers to provide the personalized context that makes onboarding effective. Managers can review and adjust the generated content before it reaches the new hire, maintaining quality control while dramatically reducing preparation time.
The tool demonstrates how AI agents are moving beyond general-purpose assistants into specialized workflow automation that tackles specific, time-consuming professional tasks. By focusing on a well-defined use case with clear inputs and outputs, the onboarding agent delivers measurable time savings without requiring managers to learn new technical skills.
