Zapier's Talent team has built an AI agent that automates interview preparation by connecting four tools and delivering tailored prep packets to hiring managers before they meet candidates.
The agent, built entirely by recruiters and coordinators without engineering support, pulls interview transcripts from BrightHire, identifies gaps in candidate evaluation, and delivers a prep packet to Slack the moment a candidate reaches the final interview stage. The workflow connects Ashby for applicant tracking, BrightHire for transcripts, Google Docs for documentation, and Slack for delivery.
Brandon Sammut, a leader at Zapier, announced the project on LinkedIn and credited Casey Firey, Jade Michel Austin, Raluca Dumitrascu, and Jaime Onofre for the work. The team has published a template that works across Claude, ChatGPT, Cursor, and other AI platforms.
Built by People Who Lived With the Problem
Sammut emphasized that the team built the agent because they experienced the manual work firsthand. "Recruiters and coordinators who lived with this every day were the ones who knew where it was broken," he wrote. "They had the AI fluency to fix it themselves, and they did."
The agent works by monitoring candidate progress in Ashby. When a candidate advances to the final stage, it triggers a workflow that pulls all previous interview transcripts from BrightHire, analyzes them for coverage gaps, and generates a summary document in Google Docs. The final prep packet lands in the interviewer's Slack channel before the meeting begins.
This approach eliminates manual transcript review and note compilation, tasks that typically fall to recruiters or coordinators between interview rounds. The team did not disclose how much time the agent saves per candidate, but Sammut described the manual process as something the team "got tired of."
No IT Tickets, No Code
The project required no engineering resources or IT approval. The team used Zapier's own automation platform to connect the four tools and built the logic using AI prompts rather than traditional code.
This continues a pattern at Zapier where internal teams use the platform to solve their own workflow problems. The company previously reported that a single employee rebuilt their internal awards program using AI building tools in two weeks. The Talent team's interview prep agent follows the same model of empowering non-technical staff to automate processes without developer involvement.
Zapier has been pushing this capability more broadly. The company launched Copilot earlier this year to help non-technical users build AI agents in under 15 minutes. The interview prep agent demonstrates how that vision works in practice when the people building the automation are the same people who will use it.
Template Available for Cross-Platform Use
The team published the template for others to replicate the workflow. According to Sammut's post, the template works across multiple AI platforms including Claude, ChatGPT, and Cursor, though the post does not link directly to the template or specify whether it requires a Zapier account.
The multi-platform compatibility suggests the core logic relies on standard AI prompts rather than Zapier-specific integrations, making it easier for teams using different tools to adapt the workflow. However, connecting the four apps (Ashby, BrightHire, Google Docs, Slack) would still require integration infrastructure, which Zapier provides through its automation platform.
For recruiting teams managing high volumes of final-stage interviews, the approach offers a way to standardize prep work without adding headcount or manual review time. The agent surfaces relevant context from previous rounds automatically, reducing the risk that interviewers miss important details or repeat questions already covered.
